Dear Parents,

Welcome to the KiWei parent app. To help you familiarise yourself with the app quickly and easily, you will find an overview and explanation of all functions here in the help centre. However, should you have any problems using the app, please do not hesitate to contact the management of your KiWei nursery. We hope you enjoy using the app.

Functionality

News feed

Under News feed, you will find important information such as posts, invitations, and daily activities. The “News feed” menu item opens when you start the app and looks like this:

If you have several children in the app, you can switch between your children by swiping the profile picture to the side.

Calendar

Use the calendar function to get an overview of activities relating to your child/children. Open the calendar by tapping Menu at the top and then “Calendar”.

Select the view by day, week or month at the top.

Filter for specific entries by clicking on the filter in the top right-hand corner.

Drop Off & Pick Up

Get an overview of childcare times, pick-up person and pick-up times using the “Pick-up and drop-off times” function. Open the function by tapping on the clock symbol at the bottom of the screen.

Please note that you must adhere to the childcare times and form of care agreed and officially booked with the childcare facility (e.g. in Kinderhaus VÖ7: 7 am – 2 pm or 8 am – 3 pm | GT 8: 7 am – 3 pm or 8 am – 4 pm | GT 10: 7 am – 5 pm). A change indicated here does not affect the times subject to charges.

In the interest of orderly operation and the organization of the services, parents/guardians are requested to bring their child to the childcare facility no later than 30 minutes after the start of the agreed/booked childcare time, but under no circumstances before the facility opens, and to collect the child punctually after the agreed childcare time.


Make a change for a day by tapping on it.
Update the desired details by tapping on them and remember to “Save” them.

Create a repeating weekly schedule by tapping “Repeating weeks” in the top right corner.

Update existing weekly schedules by tapping them or create a new week by tapping the plus at the bottom right.

If you still need to add pick-up persons, please contact your facility manager or deputy facility manager.

Absence

Report your child as absent by tapping on “Absence” in the menu.

Here you will find an overview of the absences already created. You can create a new absence by tapping on “New” at the top right.

Select the child for whom you would like to report an absence due to vacation or illness by tapping on the slider behind the child’s name. Depending on whether it is an absence due to vacation or illness, fill in the fields and add a comment if necessary.

Messaging

You will find the Messenger in the menu. In Messenger, you can reach the educational staff via messages. Please note that our specialists mainly work with the child and only reply to messages when time permits. In urgent cases, you can still reach your childcare center by phone..

Select a child and write and send messages to the teachers.

Check-in message

Send a check-in message by tapping on the menu and “Check-in message” in the menu.

Please note that the pedagogical staff cannot check messages continuously. Check-in messages can be viewed by all employees throughout the day. They must therefore not contain any personal information.

Select the child, date and write a message. Please remember to save at the top right.

Posts

Find all posts by tapping on “Posts” in the menu. Tap on a specific post to display it.

View and download your child’s pictures in the “Gallery” function in the menu.

Display a single photo by tapping on it.


Download the photo by tapping at the top right.
You can download several media at the same time by holding down a photo in the gallery, selecting more and downloading them at the top right.

Please handle your child’s photos and portfolios with care. Respect the rights of your child, the work of the professionals and strictly avoid unauthorized disclosure. You are responsible for the distribution of children’s photos outside the app.

Playdates

With this menu function, you can create invitations for other parents or receive invitations from them to arrange a play date in your free time.

Create a new invitation by tapping on the icon at the bottom right.

Enter the information and add a comment if required.

The parents of the invited child will now receive the invitation in your app in the Current function and can accept it.

Permissions

You can answer individual permissions via the permission function in the menu


Select whether you want to grant permission by tapping on the answer. Please remember to confirm the answer by tapping on “Save”.

Index Card

You can view your child’s details and permissions in the “Index card” menu function and update them if necessary.
It is very important that you fill it in.
If you change your address or bank details, please continue to contact your daycare center management.

Grant permission by tapping on the slider and save.
If you leave the slider deactivated and save, you actively decline permission.

My Contact Info

Update or add contact information by using the “My contact info” function in the menu.

Update your data: E-mail, telephone number, etc.
If you change your address or bank details, please continue to contact your daycare center management.

Profile Pictures

Update or add profile pictures by using the “Profile pictures” function in the settings.

Now open the settings by tapping on the cogwheel at the top right.

Tap on “Profile pictures” and add profile pictures or update them by tapping on them.

Translation language

You can change the language for the translation function via “Menu” and “Translation language”. Messenger works with live translation in both directions using the selected language.
